Refund & Rescheduling Policy

At Brent England Photography, we understand that life happens. This Refund & Rescheduling Policy is designed to provide clarity and fairness while protecting the time set aside exclusively for your session. By booking with us, you agree to the policies below.

1. Retainer Fees (Non-Refundable)

All sessions require a non-refundable retainer to secure your date and time.
This fee:

  • Ensures your session slot is reserved exclusively for you

  • Covers planning, communication, and time blocked off from other clients

Retainers are non-refundable under all circumstances, including cancellation by the client.

2. Refund Policy

Session Fees

Once a session has taken place, all payments are non-refundable due to the time, preparation, and creative work involved.

Digital Images

Due to the nature of digital files, no refunds are issued once images are delivered.

Prints & Products

Custom prints, physical albums, and other products are non-refundable unless damaged during shipping.
Please notify us within 7 days if your product arrives damaged.

3. Client Cancellations

If you cancel your session:

  • The retainer is forfeited

  • No refund is issued for additional paid amounts unless the cancellation is made more than 14 days before the session date

Late Cancellations

Cancellations made within 48 hours of the session date:

  • Forfeit the retainer

  • May incur an additional cancellation fee (optional to add)

4. Rescheduling Policy

We allow one complimentary reschedule if proper notice is given.

Rescheduling Notice Requirements

  • 72 hours or more: One reschedule at no cost

  • Less than 72 hours: A new retainer may be required to reschedule

Multiple Reschedules

More than one reschedule may require:

  • A new retainer

  • A rescheduling fee

  • A new date based on availability

We do not guarantee the original session fee for new dates.

5. Weather Rescheduling

For outdoor sessions, we monitor weather closely.
We may reschedule for:

  • Heavy rain

  • High winds

  • Unsafe conditions

  • Poor visibility/light

Cloudy or overcast weather is not considered grounds to reschedule β€” it’s great for photos.

If weather forces a reschedule, the retainer transfers to the new date at no cost.

6. Photographer Cancellations

If Brent England Photography must cancel due to illness, emergency, equipment failure, or circumstances beyond our control, clients may choose:

  • A full refund of all payments, including the retainer, or

  • A rescheduled session at no cost

This is extremely rare, but your peace of mind matters to us.

7. No-Show Policy

If a client does not show up and provides no communication within 15 minutes of the session start time:

  • The session is considered a no-show

  • All payments are forfeited

  • A new retainer is required to rebook

8. Late Arrivals

Late arrival may reduce shooting time.
Sessions will not be extended due to late arrival unless additional time is purchased and available.

9. Illness Policy

If you or a family member is sick, please notify us as soon as possible.
We allow one complimentary reschedule for illness if proper notice is provided.

If the photographer is sick, we will reschedule at no cost or issue a refund if needed.

10. Travel, Permits & Location Fees

Location fees, parking, and permits are non-refundable once purchased.
If a location cancels access, we will help choose a suitable alternative.
